Where to start

Separate collection from organization. Keep an untouched copy of your notes, then make a working index that tells you what each item supports. A pile of highlights becomes usable when every note has a purpose, a location and a traceable origin.

Do not merge quotations into your own prose during sorting. Label exact quotations, paraphrases, personal observations and unverified ideas differently. This prevents a research note from quietly becoming an unsupported claim in the manuscript.

Use a four-field note index

  • Give each note an ID and a short statement of the idea it contains.
  • Record the source, page or location and date when relevant.
  • Assign a possible chapter and label its role: claim, example, objection, instruction or background.
  • Mark uncertainty and permission questions; keep them visible until resolved.
  • Move repeated notes into one cluster without deleting distinct evidence or disagreement.

Turn a messy note into a useful record

Instead of ‘small pots dry fast,’ record: ‘N14 — observation from my July balcony trial; container A required watering sooner on three recorded days; possible chapter: watering; limitation: different sunlight exposure.’ That note may support a cautious example, but not a universal rule about all small pots.

A chapter folder can then contain N14, the relevant plant-care references and a missing-evidence question. Draft from the cluster while keeping the IDs available. Remove private drafting IDs from the final edition, but preserve the source ledger for checking and future updates.

Check your result

  • Every factual note can be traced to its origin.
  • Quotations remain distinguishable from paraphrases.
  • Unused notes are parked rather than forced into a chapter.
  • Contradictory evidence stays visible during drafting.
